20×20 Trade Show Booth Planning Guide: Traffic, Demos, Graphics, Storage, and AV

A 20×20 footprint provides 400 square feet, but useful capacity depends on the configuration, assigned access, structures, products, demonstrations, staff, storage, and services placed inside it.

Write the operating brief before drawing zones

A 20×20 island and a 20×20 peninsula can behave differently because access, neighboring boundaries, height, and service routes differ. Begin with the official space record, then list the products, vehicles, demonstrations, meetings, media, hospitality, staff, storage, graphics, lighting, AV, accessibility, and show services the booth must support.

Zone traffic, demonstrations, conversations, and staff movement

Start at the perimeter. Decide which sides are open, what message should be readable from each approach, and where an attendee can pause without blocking entry. Put the primary attraction where it can be understood from the aisle, then create a clear path to the product, demonstration, or person who continues the story.

Demonstrations need operator space, a viewing area, sightlines, power or other services, sound control, safety boundaries, and a transition into lead capture or technical discussion. Staff also need routes between engagement points, storage, meetings, and hospitality. Draw those movements on the plan before choosing furniture.

  • Mark every open edge, desired entry, and unavoidable obstruction.
  • Draw attendee, staff, product, and service movement as separate paths.
  • Test whether a demonstration audience blocks the next visitor’s way in.

Build one graphic hierarchy across structure, lighting, and AV

A useful hierarchy answers three questions at three distances: who is this, what is being offered, and what should the visitor do next? Reserve the highest-visibility surfaces for identification, use mid-range graphics to frame the primary product story, and place detailed information where an interested visitor can stop to read without disrupting traffic.

LED exhibits can support motion, demonstrations, launch content, and changing messages, but the display needs a viewing distance, content plan, power, data path, mounting method, sound decision, and backup behavior. Lighting should reveal products and graphics rather than fight the screen. Coordinate AV, lighting, and electrical locations before flooring and production are approved.

Give storage, meetings, and hospitality a defined job

Storage protects the public experience. Calculate daily literature, samples, staff belongings, cleaning supplies, replacement parts, hospitality stock, and equipment cases. Place frequently used items where staff can reach them without crossing a meeting or demonstration zone. If a closet consumes too much floor area, consider distributed lockable storage integrated into counters and structures.

Meeting and hospitality areas should correspond to a known conversation type. Open stools support short exchanges; a table can support technical review; enclosure may be appropriate for confidential discussion. A coffee or charging feature can be useful only if staff, replenishment, waste, power, and cleaning are planned. Do not let hospitality displace the product story the exhibit was purchased to tell.

Review the plan as a build, show-day, and return system

Ask the provider to walk through the installation order, graphic placement, equipment testing, product load-in, cleaning, show-day reset, dismantle, packing, outbound release, and return destination. A beautiful layout that cannot be installed within the approved access and service plan is not ready.
