Start with the official event record and purchased space
The official SEMA Show home page identifies November 3–6, 2026, the Las Vegas Convention Center, and the current show hours. The official exhibitor resources connect exhibitors to the service manual, floor plan, rules, display regulations, registration, and travel tools. Those first-party resources—not an old checklist or a vendor assumption—should control the show-specific part of the plan.
Before choosing architecture, document the hall, booth number, exact dimensions, configuration, aisle exposure, columns, assigned entrances, products, vehicles, demonstrations, staff count, storage needs, and technology. Our SEMA Show 2026 planning page keeps the verified event facts and independent-provider disclosure in one place, while the current organizer materials remain the authority for rules and deadlines.
- Save the current floor plan, service manual, rules, and display regulations.
- Record the purchased footprint and every fixed obstruction or access condition.
- Name one internal owner for approvals, one for logistics, and one for show-day staffing.
Approve the booth function before the booth form
A concept can look polished and still fail operationally. Start with the work the space must perform: show a vehicle, stage a product demonstration, hold a technical conversation, capture leads, record media, store daily supplies, or host scheduled meetings. Rank those functions, estimate the space each one needs, and identify which must be visible from the aisle.
Use the exhibit catalog to compare real structural approaches, then read how to choose a SEMA trade show booth before deciding between a rental configuration and a custom exhibit. Design approval should include dimensions, traffic paths, product clearances, graphic locations, storage, lighting, AV, and a written list of what is not included.
Lock graphics, services, and approvals as one coordinated package
Graphics affect architecture, lighting, production, freight, and installation. Build an approval sequence that identifies artwork owners, dimensions, materials, proof stages, color expectations, installation method, final sign-off, and what happens if the source files or approved copy change. A logo file is not a graphic plan; each surface needs a purpose, viewing distance, and production specification.
At the same time, map power, connectivity, rigging, compressed air, plumbing, cleaning, lead retrieval, and any other show service against the approved layout. The organizer’s 2026 Exhibitor Summit materials emphasize budgeting, traffic, product launches, media, drayage, electrical, and rigging as connected planning topics. Our exhibit services overview explains how design, graphics, logistics, and qualified installation and dismantle coordination fit into the broader project scope.
Plan freight, installation, dismantle, and return before anything ships
The current event manual should determine available shipping paths, labels, dates, material-handling procedures, carrier instructions, and outbound paperwork. The LVCC publishes current facility guides and freight-door maps, but the assigned event documents still control show-specific access. Use our Las Vegas Convention Center logistics checklist to frame the questions for your carrier, labor coordinator, show services, and internal team.
Write the installation sequence before loading the first crate: flooring and under-floor services, structure, overhead elements, graphics, lighting and AV, products, cleaning, testing, and handoff. Then reverse the sequence for dismantle. Record who prepares outbound documents, who releases freight, where properties return, and what will be inspected, stored, repaired, reused, or discarded.
| Phase | Decision output | Primary record |
|---|---|---|
| Official inputs | Confirmed space, rules, resources, owners | Current organizer resources |
| Strategy and design | Approved function, layout, structure, graphics | Signed design brief |
| Services and production | Orders, proofs, responsibilities, schedule | Project scope and service forms |
| Freight and install | Route, labels, labor, build sequence, handoff | Logistics plan |
| Dismantle and return | Pack, release, carrier, destination, inspection | Outbound and return plan |
Turn the timeline into written commitments
A usable timeline names the owner, input, approval, dependency, due date, current status, and consequence for every decision. It also distinguishes organizer deadlines from internal production targets. Review what an all-inclusive exhibit-rental proposal should cover so assumptions, services, exclusions, change control, availability, and written confirmation appear in the commercial scope—not only in an internal spreadsheet.
SEMA Exhibits is an independent exhibit-services provider and is not the organizer, venue, general service contractor, or an endorsed SEMA Show partner. If you are ready to convert your assigned space and product plan into a scoped project, review the Las Vegas exhibit-services guide and request a show-specific quote.
