Confirm the hall, booth, orientation, and physical constraints
The official LVCC facility page describes a multi-hall convention campus and links to current facility guides, maps, freight-door information, accessibility resources, transportation, policies, and service providers. The SEMA Show exhibitor resources remain the show-specific source for the current floor plan, display regulations, service manual, and event forms.
Begin the logistics file with the hall, booth number, dimensions, configuration, aisle sides, columns, floor conditions, permitted height, overhead restrictions, assigned access route, and any product or vehicle placement requirement. The Las Vegas exhibit-services guide provides local planning context, but the purchased space and current official documents must govern the plan.
Map the freight path from origin to booth and back
Ask the current event manual which shipping paths are available, where carriers check in, which labels and references are required, how target schedules apply, and which party controls dock-to-booth material handling. Then give the carrier the exact event, hall, booth, consignee, delivery instructions, contacts, dimensions, weights, piece count, and required paperwork.
The LVCC publishes freight and roll-up-door maps, but exhibitors should not infer a door assignment from a generic campus map. Confirm the show-specific route and access instructions. Before shipping, document the return carrier, destination, release owner, outbound paperwork, packed dimensions, and contingency if the planned carrier cannot collect within the official window.
- Reconcile the carrier plan with the current event manual and target information.
- Photograph and inventory packed properties before departure and after return.
- Put outbound carrier details and return destinations in the same logistics file as inbound freight.
Coordinate utilities, rigging, accessibility, and service ownership
Overlay the approved booth plan with electrical, internet, plumbing, compressed air, rigging, cleaning, catering, lead retrieval, and waste requirements. Identify the responsible ordering party, official provider, location, quantity, connection point, approval, and on-site contact for each service. Cable paths and service locations should be reviewed before flooring and structure are released.
The LVCC page publishes accessibility information and current facility resources. The exhibit plan should preserve accessible routes and operating clearances, while event-specific questions should be verified with the appropriate official contact. Our 20×20 booth planning guide explains how traffic, demonstrations, graphics, storage, and AV compete for the same footprint.
Define contractor, labor, and approval responsibilities in writing
The LVCC links to an Exhibitor Appointed Contractor permit process and advises readers to consult current facility policies. The event may also have show-specific contractor, insurance, credential, labor, and access requirements. Verify all current requirements instead of reusing a prior-year packet.
Create a responsibility matrix for the exhibitor, exhibit provider, carrier, official show services, material handling, rigging, electrical, other utilities, qualified installation and dismantle labor, and on-site contacts. The exhibit services page explains the coordination layers. A commercial proposal should state who orders, pays, approves, supervises, receives, releases, and returns each item.
| Workstream | Decision to record | Confirmation source |
|---|---|---|
| Space | Hall, booth, dimensions, orientation, access | Official floor plan and space assignment |
| Freight | Path, labels, carrier, schedule, handling, return | Current event shipping instructions |
| Services | Provider, order owner, quantity, location, contact | Current service forms |
| Contractors | Permit, credentials, insurance, supervision | Current event and facility requirements |
| Dismantle | Pack order, paperwork, release, pickup, destination | Outbound instructions and written project plan |
Run the dismantle and return plan before opening day
Dismantle should be a planned reverse build, not an improvised exit. Define when products can be packed, when empty containers are expected, who inspects graphics and hardware, how components are labeled, who completes outbound documents, who releases the shipment, and where the carrier takes it. Record what returns to inventory, what ships elsewhere, and what needs repair or replacement.
